Mixed-Use Developer Syncs 200+ Subcontractors Through Procore Integration
Manual Data Entry
Data Sync Errors
Non-Compliant Site Access
Sub Onboarding Time
The Challenge
A West Coast developer managing a portfolio of mixed-use projects was running compliance operations in SubcontractorAudit alongside project management in Procore, but the two systems were not connected. The operations team was manually re-entering subcontractor data, compliance statuses, and document references between the platforms — a process that consumed 25+ hours per week across the team.
Data discrepancies between the two systems caused constant confusion. Project managers would see a subcontractor marked as compliant in Procore while the compliance team had flagged an expired certificate in SubcontractorAudit. This disconnect led to two instances where non-compliant subs were allowed on-site, triggering owner-mandated work stoppages.
With 200+ active subcontractors across the portfolio and new subs being onboarded weekly, the manual sync process was unsustainable and error-prone.
The Solution
SubcontractorAudit's Procore integration was activated to create a bidirectional sync between the two platforms. Subcontractor directory data, compliance statuses, insurance documents, and project assignments are automatically synchronized in real time, eliminating all manual data entry.
When a compliance status changes in SubcontractorAudit — such as an expired COI or a failed prequalification review — the update is immediately reflected in Procore, and the project manager receives an automated notification. Conversely, new subcontractors added in Procore are automatically enrolled in SubcontractorAudit's compliance workflow.
The integration also maps SubcontractorAudit's compliance requirements to Procore's directory fields, giving project teams a single source of truth without switching between platforms.
“The Procore integration was a game changer. Our project managers no longer have to check two systems, and our compliance data is always current. We eliminated an entire category of operational errors overnight.”
